Brief Job Description:
Performs administrative support work involving distributing and managing correspondence and information, as well as maintaining and organizing files, records, and calendars. Applicants must be highly organized, detail-oriented, skilled in multitasking, data management, and communication.
The Administrative Assistant will be responsible for assigning and tracking over 500 intakes daily to over 80 screeners multiple times a day, ensuring accurate allocation of assignments based on staff availability and workload. Communicate daily assignments and any updates clearly and effectively to staff.
Essential Job Functions (EJFs):
Maintain monthly data reports to account for all intake outcomes.
Monitor completion of intakes and follow up to troubleshoot delays or issues.
Create and manage multiple detailed Excel spreadsheets for tracking assignments, progress, and outcomes.
Coordinate, organize, and schedule meetings with staff and leadership teams as required.
Serve as the point of contact for assignment-related inquiries or troubleshooting.
Collaborate with management to identify ways to streamline assignment processes and improve workflow efficiencies. Support team members with administrative tasks to ensure seamless operations.
Knowledge, Skills and Abilities (KSAs):
- Knowledge of office practices and administrative procedures.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook, Teams). Especially Excel and PowerPoint.
- Skill in the use of standard office equipment and software.
- Ability to implement administrative systems and procedures and to interpret rules, regulations, policies, and procedures.
- Exceptional organizational and time management skills.
- Strong attention to detail with an ability to manage large amounts of data accurately.
- Excellent written and verbal communication skills.
- Ability to work under pressure and meet tight deadlines.
- Comfortable working independently and in a team-oriented environment.
Registrations, Licensure Requirements or Certifications:
N/A
Initial Screening Criteria:
- High school diploma or GED required
- At least two years of administrative experience
- Experience in Microsoft Excel, Word and PowerPoint
Preferred Criteria:
- Associate’s or Bachelor’s degree
- Proficiency in Microsoft Excel, Word and PowerPoint
- Knowledge of DFPS intake assignment software or tracking tools (IMPACT, Excel).
- Prior DFPS/CPI experience
- Prior experience managing communications across diverse teams.
- Analytical skills for identifying trends and patterns in intake outcomes and monthly reporting.
Additional Information:
This position is eligible for telework and can be housed in region 4, 5, 6A, 6B, 8, 7, 3E, or 3W. Schedule for this position may be Tuesday-Saturday or Sunday-Thursday and is subject to change based on business need.
